The reception office is an important part of any organization. It is the first place visitors and clients go to when they arrive. The receptionist is the person who works in the reception office, and they perform many tasks, including handling important documents.
Documents Handled by a Receptionist
A receptionist deals with different types of documents daily. Some of these documents include:
- Visitor Logs: This is a record where the receptionist writes down the names of people who visit the office. It helps to keep track of everyone who enters and leaves the building.
- Appointment Schedules: Receptionists manage appointment schedules to ensure meetings are well-organized. They use this to remind staff and visitors of their scheduled times.
- Mail and Parcels: The receptionist receives and organizes incoming mail and packages. They sort them out and make sure they are delivered to the right people.
- Forms: Various forms such as visitor forms or employee leave forms may be filled out at the reception. The receptionist collects, reviews, and files these forms.
- Invoices: Receptionists sometimes receive invoices, which are documents showing the amount to be paid for goods or services. They may pass these to the finance department for payment processing.
- Telephone Messages: When someone calls but cannot speak to the person they are trying to reach, the receptionist takes messages. They write down the details of the call and pass it to the right person.
